Role Overview

Known across Perth for our superior standards in customer service and aesthetic treatments, we are looking for a high calibre administrator to join our team who we can trust and feel confident in the coordination the smooth running of the clinic and welcoming our patients.

Our front of house/clinic coordinator position is the most integral part of our professional yet friendly team. We are looking for an individual with the following qualities:

ROLE & Responsibilities

  • Excellent customer service delivery

  • Having a genuine desire to do the job to the highest standard

  • Welcoming all customers and visitors

  • Making bookings and scheduling appointments, via phone, email and social media 

  • Effectively managing busy booking schedule for multiple practitioners

  • Taking memos and relaying information to appropriate team member- this requires an individual who can think on their feet and use their initiative to read situations and respond accordingly

  • Accurately taking and recording payments and completing end of day reports

  • Managing smooth running of day to day clinic activities

  • Stock management and control

  • General management of treatment rooms and reception area

  • Responsible for opening and closing of the clinic

Personal attributes & desired qualifications:

  • Commitment to excellent customer service delivery

  • Well presented with a genuine interest in the beauty/cosmetic industry

  • Friendly and professional with absolute discretion and adherence to client confidentiality 

  • Experience in a supervisory role

  • We require previous reception/administration experience in a similar role, ideally within the medical cosmetic industry

  • Administration qualification desired but not essential

  • Excellent communication skills – both written and verbal

  • Well developed computer skills essential

  • Ability to work under pressure in a busy clinic environment while delivering superior customer service to our customers

  • Organised with excellent time management skills

  • Must be able to use initiative and work unsupervised (this is not a micro-management scenario, the right candidate will be self-managing with light supervision of the owner/manager)

  • Capable of working independently and as part of our team

  • Hardworking and dependable

  • Honest and work with integrity

  • Have attention to detail and a tendency to be thorough

  • Desire to do your job to the highest standard
